What data we collect

We only collect data you actively provide to us, plus a minimal amount of technical data necessary to operate the website.

Data you provide

When you submit our contact form, we collect:

  • Name
  • Company
  • Email address
  • Project type (where provided)
  • Budget (where provided)
  • Your message

Technical data

Our hosting provider (Cloudflare) processes basic technical data — including your IP address — to deliver the website securely. This is used for security and performance only, and is not used to identify or track you.

Why we collect it and our lawful basis

Under UK GDPR, we must have a lawful basis for processing your data. For contact form submissions, our lawful basis is legitimate interest — specifically, responding to your enquiry.

We do not use your data for marketing without your explicit consent. We do not pass your data to third parties for marketing purposes, ever.

How long we keep it

We retain contact form submissions for up to 24 months after your last interaction with us, to allow us to respond to follow-up enquiries and maintain a record of our communications. After this period, we delete the data unless we have a specific reason to keep it longer (for example, an active client relationship).

Technical hosting logs are retained by Cloudflare per their own retention policies. We do not access or store these ourselves.

Who we share it with

We share your data only with the small number of service providers we use to operate. These are:

  • Cloudflare — hosting and security infrastructure
  • Resend — email delivery for contact form submissions (planned, not yet active)
  • Our own internal systems for managing client enquiries

We do not share your data with marketing companies, advertising networks, data brokers or any other third party for promotional purposes.

Cookies

Our website uses a minimal number of cookies, and only those strictly necessary for the site to function and remain secure. We do not currently use analytics cookies, marketing cookies, or advertising cookies.

If we add analytics in future, we will use a privacy-friendly solution (such as Cloudflare Web Analytics) that does not require consent under PECR because it does not place identifying cookies on your device. We will update this policy if that changes.

Promotions and competitions we run for clients

TBK Agency designs and operates promotional campaigns and prize draws on behalf of client brands. When you enter one of these promotions, your data is collected and processed under a separate privacy notice specific to that promotion — published at the point of entry.

In those cases, the client brand is usually the data controller and TBK acts as the data processor. The promotion-specific privacy notice is the controlling document for any data collected through that promotion, not this policy.

Your rights under UK GDPR

You have the right to:

  • Access the data we hold about you
  • Ask us to correct inaccurate data
  • Ask us to delete your data (subject to our retention obligations)
  • Restrict or object to how we process your data
  • Request your data in a portable format
  • Withdraw consent at any time, where consent is the basis of processing
